The Burvill Cup:
In honour of Julie Burvill, who many will remember as a key member of Surrey Swimming and Woking swimming club, we are introducing The Burvill Cup which will be awarded to the most improved club at the Surrey Age Group Championships based on the percentage increase in Tinlin points from the previous year. The club must have a minimum number of 5 athletes entered into the championships to be eligible for the award.
This award aims to recognise not only the improvement in athlete performance but also the hard work of the clubs and coaching teams behind the athletes, which we believe is in keeping with the contribution and values that Jules brought to Surrey Swimming.
The current rankings after the 1st Weekend are provided in the Results page for the Championships.
Car Parking:
Please use the nursery car park at the bottom of the drive to SSP. We expect all the cameras will be operating on the main car park.
Spectators:
We will be hosting swimmers and coaches on poolside in 2025 as we did in 2024. The majority believe that this will generate a better eperience for our County qualifiers. However, in 2025, the number of seats available to spectators will be limited to the area by the entrance door. All the seats along the window will be allocated to swimmers and coaches to improve the environment for them.
There will be no charge for spectators, but you should vacate a seat once you no longer need it. The seatng will be on a first come first served basis. There will be a barrier at the window seating beyond which you will need a poolside pass to access or be a swimmer!
Accepted and Rejected Entries:

If any swimmer wants to withdraw from either of these events, they should contact the Promoter as soon as possible and the next reserve will be contacted. The reserve list is in time order with preference being given to the fastest time in the same age group and then the fastest time overall. The remaining reserves are invited to sign in on the day should there be any no-shows.

Whilst Fine designs will not be attending the Surrey County Championships 2025, they will still be offering their wide range of commemorative hoodies and t-shirts in their online shop as they did in 2024. Qualifying and Consideration Times:
The Coaches forum made the decision to add Consideration Times to the qualifying process for the 2025 County Championships. The Consideration Times are set at 5% below the Qualifying Times. If you achieve a Qualifying Time in an event, you are guaranteed a place in that event in the Championships. The published times include a separate age group for 17 year old swimmers. This is for entry only. As in previous years, the top age group for the meet is 17 & Over. All races will be seeded and awards will be determined on this basis.
All submitted entry times must be recorded on British Rankings for the course swum. No conversions are permitted for entry. Times from any licensed meet swum on or after 5 February 2024 are eligible for entry.
The introduction of Consideration Times (“CTs”) this year for the first time may result in fewer entries being accepted in future years as our data improves and the setting of the CTs stabalises. For 2025 the CTs were set very close to what the Qualifying Times (“QTs”) would have been so that the transition to both CTs and QTs was as least disruptive as possible. In 2026 there will be a bigger gap but swimmers need to understand that getting a CT will not mean they have an entry into the County Championships. By way of example, London Region rejected 28% of Consideration entries into the recent Winter Championships.
To assist in the understanding of how the CTs will work, I attach the target number of swimmers by age group and event that will be used to determine where the cut off will be for acceptance. This table applies equally for Open/Male and Female genders.

Official Photographer:
We will be using an official photographer again this year, Simon Roe. He will post the photos taken to his website from which purchases can be made. You can access the gallery of photographs through this link. We will be presenting medals this year in accordance with the medals presentation schedule that will be published in the meet documents below. Simon will be taking an official photograph of all the medallists and will be make these photographs available for download from his website. Surrey County ASA will cover the cost of the medal photographs.
Awards:
We have amended the timeline to make space for a formal presentation of medals. Our official photographer will take the formal photgraphs to speed up the process. Coaches are asked not to try and do the same.
Medallists must report to marshalling at the time shown on the Medal Presentation Reporting Times and coaches should ensure they do this. We will not be holding presentations to wait for a swimmer. All medals not presented will be available for collection at the medals desk.

Poolside Passes:
We will be using the Swim England poolside pass system, that is used for National competitions, for coaches, team managers and chaperones. The pass should be downloaded at home and brought with you to the meet. We will provide wallets and lanyards. All coaches, team managers and chaperones must be registered with Swim England and have recorded their relevant qualifications in the Swim England systems. We would recommend that passes are applied for early to ensure any missing data is provided ahead of the meet. No-one will be admitted to poolside without a pass.
- Chaperones: If a chaperone pass is required, the club (Chairman/Secretary) needs to email Martyn Hudson at Swim England (martyn.hudson@swimming.org) with the members details (name and number) and request they be added to the list of Chaperones. Once added they remain on the list until removed.
- Coaches, Team Managers, Chaperones: The pass can be accessed through the member’s individual page on the Swim Engalnd website. Log on using the following path www.swimmingresults.org > members > English/Welsh Member Options and enter your user ID and password to access your membership page. Once onto your individual membership page, select the option “Purchase accreditation for events click here.” You will then see a list of all the Counties and Regions using the on-line pass system. Select the Surrey County event for the day you wish to attend and print your pass at home. You will be charged £5 per day and must pay on-line. If you are attending the whole championship, you will need four separate passes. If any of the requirements are in red, you must correct the data in the relevant Swim England system before you can print your pass. You will be able to purchase your pass from 1 January 2025.
- Level 2 Teachers should submit their poolside pass request by completing the form at this link.
- Clubs need to pay for the number of teachers they would like to have on poolside at any one time. You can do this by completing the form at this link. Coaches, Chaperones and team managers will have paid for their passes on-line at Swim England for each day they wish to attend. We will charge your club separately for any L2 Teacher passes ordered.
Field of Play volunteers should submit their poolside pass request by completing the form at this link.
Technical Officials must show their licence to gain access to the venue. Any technical officials in training must apply for a Field of Play pass.
Catering:
Catering is complimentary for technical officials and volunteers who attend both sessions in the day. Coaches can purchase food for any day by completing the Catering Request form at this link. Catering Requests are closed for the 1st weekend but are still open for the 2nd weekend. Please submit your requests on or before 21 January 2025. We will charge your club separately for any catering ordered.
Communications:
We are trialling a Telegram communication channel at the meet this year. This is aimed at Coaches and Team Managers but all are welcome to join. It will be a one way channel to enable the events team to send out messages to help in the running of the meet. Anyone wishing to take part should download Telegram onto their phones or tablets and use the following QR code to access the channel.
We would welcome feedback through the Coaches Forum after the championships.
